TrackMy Project
HELP CENTRE

Keep your team working from the same record.

Quick guides for main contractors, subcontractors, site teams and suppliers. Your administrator decides which projects, companies and actions you can access.

Get started

  1. Ask your administrator for your workspace code, username and initial password.
  2. Open the project workspace and sign in. Complete authenticator verification when requested.
  3. Choose your project in the sidebar. Your dashboard shows records within your access.
  4. Use Account security to change your password and set up an authenticator.

Set up a subscriber

  1. Master Admin creates an organisation or white-label client.
  2. Provision its first administrator login and share credentials securely.
  3. The organisation administrator creates projects and collaborator companies.
  4. Create users with project assignments, company visibility and individual action permissions.

Site progress & attendance

Add worker records, select the date and record attendance for own or subcontractor workers. Attendance workers do not need login accounts.

Daily reports capture completed work, quantities, issues and the next work plan. Submission freezes the attendance snapshot. Corrections need a reason; submitted reports require an independent reviewer.

Materials & deliveries

Add a material BOQ, ordered quantity and delivery plan. Record each delivery and rejected quantity. Only accepted receipts increase stock.

Record usage, returns, transfers out and damage separately. Stock movements cannot exceed the available balance. Use PDF, PNG or JPEG evidence, up to 5 MB per file.

Requests, drawings & schedule

Keep questions, replies and closure decisions in Requests & RFIs. Upload drawing revisions without replacing earlier records. Receipt acknowledgement and approval are separate actions.

Gantt tasks retain their original baseline, current dates, progress and dependencies. Dates use calendar days. Dependencies flag coordination issues; dates are not automatically rescheduled.

Access & account changes

Administrators can change existing users’ projects, company visibility, status and module actions at any time. An access change ends the affected user’s existing sessions.

If you cannot see a project or action, contact your organisation administrator. Keep authenticator recovery codes securely. Never post passwords in project discussions.

Release scope

Subscriptions and payments are recorded manually. White-label branding and package settings are supported; custom domains and client-server installations require a separate deployment. External email/SMS reminders, payment collection and server monitoring are not connected. The current file allowance is 1 GB per organisation.
